Job Brief
An Inside Sales | Customer Service Representative is a part of the sales team and handles all new business leads that come in through phone, email or in person walk-in traffic in showroom. S/he coordinates providing comprehensive estimates and contracts to customers and contractors who have requested a quote in a timely manner and follows through on all estimates, answering questions from the customer to help them feel comfortable with their potential purchasing decision. S/he facilitates key communication toward closing the sale and once sold, prepares the job folder(s) by processing deposit payment(s) and obtaining all required contract signatures to proceed. S/he provides support on sales and estimating for both the Residential and Automotive Departments, as needed, and places the initial material orders before the project goes into Work in Progress and Scheduling. Additionally, s/he provides secondary support in scheduling and communication with the install team, as needed.

Responsibilities:

  • Maintain an updated Project Tracker and meet bid deadlines accordingly, communicating with the customers at all times
  • Maintain organized project files in Shared with completed bid sheets and photographs from the Outside Sales team, if available
  • Work closely with the Outside Sales team to discuss and explore project information in preparation for a thorough and accurate bid submittal to the customer
  • Follow up consistently with vendors on any/all price changes including surcharges
  • Maintain strategic alliances and relationships with suppliers and manufacturer’s, partnering with them in the bidding process to provide the best price to the customer
  • Carefully review all estimates and plans, including notes from Outside Sales team or installers, to provide an accurate bid. Request a second set of eyes and approval on bids of scale.
  • Communicate effectively with administrative and installation staff members, asking questions and gaining insight where needed to provide an accurate bid
  • Enforce adherence to office and install Standard Operating Procedures (SOPs)
  • Maintain fluid communication between all parties to a project team
  • Act as the main point of contact for the customer and strategically introduce them to the Project Management team once sold and ordered
  • Communicate and work closely with Management and Partners to make critical decisions as it relates to markups, labor costs and special pricing
  • Prepare job folders for closed sales to include all pertinent documentation, contract signatures, payment schedules, completed invoices, permitting notices, bidding & negotiation notes for the Project Manager(s)
  • Assist walk-in customers in the showroom for all their glass needs no matter how big or small their job might be: including small flat glass, screen and over the counter sales in addition to larger leads from homeowners and contractors
  • Learn more in-depth knowledge of product lines and services, leading the administrative team in being informed of new supplier information and bidding software
  • Support Project Manager(s) as needed
  • Continue education through seminars and participation in professional and team activities

  • Ask how customers/leads heard about us and indicate notes on your invoices for the Marketing Department

Requirements

  • Ability to effectively communicate and elevate experiences with Clients, Customers and Contractors
  • Clear understanding of window and door building materials, proving knowledge of construction processes
  • Fluency in Microsoft Windows, Office and Adobe Suite
  • Excellent time management skills and ability to multi-task and prioritize work

Pay: $17.00 - $27.00 per hour
